New features, fixes and improvements to RTOPilot from February

February has been a big month for RTOPilot. We've welcomed new customers to v2, and their feedback has been directly shaping our development priorities.

To help put things in perspective, over the last 4 weeks alone, we've made 14 deployments - on average that's a new update every two days.

What's new in v2

Trainer Portal Updates

Attendance Tracking: trainers now have access to an intuitive interface for tracking student attendance across multiple sessions. Trainers can quickly mark students present or absent with a simple toggle, making roll call easier - even for large classes. The system automatically time-stamps attendance records, ensuring accurate reporting for compliance purposes.

Outcome Marking for Classes: trainers can record student assessment outcomes directly within the platform. Instead of managing separate spreadsheets or paperwork, trainers can now enter competency results, grades, or custom outcomes while viewing all student information in one place. This integration means less administrative overhead and more time focusing on quality training delivery.

These trainer-focused improvements are part of our ongoing commitment to creating a seamless experience for all RTOPilot users – from administrators to trainers to students.

Enhanced Enrolment Experience

We've completely overhauled the enrolment page with a sleeker design that's better optimised for density, readability and conversion.

We've also added phone number collection in the enrolment form, so that you can easily communicate with your students after enrolment via SMS or with a phone call.

Custom Enrolment Questions

RTOs can now define custom data collection fields for participants enrolling in their classes. This flexibility allows you to gather exactly the information you need from your students, tailored to your specific courses.

Automatic USI Verification

We've implemented automated USI lookup for students when they submit details into their profile. This integration also works when admins pre-fill student fields, eliminating the need for manual verification.

Magic Link Logins

Users can now log in to RTOPilot with just their email using secure login links. This "Sign in with email" option provides a passwordless experience that's both convenient and secure.

More Administrative Control

• Admins can now enrol students in classes that have already started, are over quota, or are unpublished

• Support for offline payment recording - enrol students when you've captured payment outside of RTOPilot

• Option to notify admins via email when new enrolments occur

• Ability to upload your own privacy policy and terms of service documents so that they are included in the enrolment process

Bug Fixes

• Fixed single name USI verification

• USI form field now enforces uppercase text in student profile for better readability

• Preserved time settings when session dates are changed

• Made email addresses case-insensitive for all login functions

• Fixed capacity quota calculations to include completed enrolments

• Corrected Australian date formats on generated certificates

• Resolved class and session duplication bugs

• Fixed various session creation and editing issues

• Improved attendance tracking stability

• Fixed issue where leads would not expire for up to a day (and remain active)

• Corrected enrolment cutoff countdowns to prevent overflow issues

• Fixed intermittent form reset issues that were causing data loss

• Resolved a looping issue affecting users attempting to onboard for the first time

• Fixed bugs in payment setup and template editing

• Corrected 404 errors when viewing lead details

• Addressed issues with verification emails during manual enrolment
