Admin dashboard, webhooks, email logs

In March we shipped some exciting updates and a whole host of improvements to RTOPilot.
What's new
Admin Dashboard
We've launched a comprehensive dashboard showing statistics on enrolments, revenue, and certificates over different periods. The dashboard also highlights enrolments that may require action from you as administrators - giving you a complete overview of your RTO's performance at a glance.
Webhooks
We've introduced webhooks that allow RTOPilot to seamlessly connect with your existing systems. This powerful feature enables real-time data exchange with your LMS platforms, CRM systems, accounting software, and other business tools.
With webhooks, you can:
Automatically sync student information with your LMS when new enrollments occur
Trigger custom notifications in your communication tools
Update your CRM when student statuses change
Create automated workflows between RTOPilot and virtually any API-enabled service
This integration capability means RTOPilot can now fit perfectly into your existing technology stack without manual data transfers.
Email Communication Log
We've added a comprehensive email log that shows you a record of all communications sent to students on behalf of your organisation. Admins can now easily verify when emails were sent and confirm delivery status by filtering with student email addresses.
This provides peace of mind and helps troubleshoot any communication issues your students might face.
Booking Page Enhancements
We've made several improvements to our booking pages based on your feedback to create a more intuitive enrollment experience:
Removed repeated information and simplified layout
Session addresses are now more prominent for easier location identification
Added intuitive icons to improve visibility of important information
Website booking widget now automatically adapts to your website's background color
Other minor copy and style improvements
These refinements create a more seamless enrollment experience while maintaining all the essential information your students need.
Payment Management
Student payments and RTOPilot billing are now consolidated under a single Payments page
Promo codes can now be entered at checkout (promo code management coming soon)
Added a new RTOPilot billing section to manage fees for externally paid enrolments
UX Improvements
Sidebar items now highlight based on your current location
Added page titles for all pages (names in the tab)
Added resource type names to detail pages for easy identification
Class template colours are now randomly selected to help provide context and colour associations on the calendar
Student Management Improvements
Admins can now edit/request updates for all student fields
Verification emails now automatically log users into RTOPilot
Added an individual page to view enrolment leads with detailed status information
Bug Fixes
Fixed issue where onboarding would fail when privacy policy and terms of service documents are included
Enhanced calendar loading performance
Fixed USI verification issues, including proper handling when the USI service takes too long to respond
Added Swahili to available languages
Corrected class dates on transfer emails
Fixed student class tabs flickering in Student Portal
Now hiding cancelled enrolments for students in student portal
Resolved token issue that resulted in users not being able to log in
Fixed bug where invalid USIs could be entered into the system by students or admins
Organisations with a mismatch between ABN and org code with ASQA will no longer error submissions, and will instead prevent enrolments
